Every Clarke engagement is scoped individually because no two businesses have the same needs. Revenue, number of entities, employees, states, and the current state of your books all factor into your monthly fee.
To help you understand where your business falls within our pricing tiers, here’s how we define complexity.
Low Complexity
A straightforward operation with a single entity, operating in one state, with limited transaction volume and no employees or a solo owner on payroll. Books are generally organized and up to date. Monthly bookkeeping, basic tax planning, and simple payroll support are the primary needs.
Common Business Profile: Solo practitioners, early-stage businesses, and owner-operators with straightforward financials.
Typical Monthly Price Range: $500-$800
Moderate Complexity
A growing business with moderate transaction volume, a small team on payroll, and bookkeeping that requires consistent monthly attention. May involve a mix of revenue streams, a handful of employees, or basic multi-state considerations. Tax planning is an active part of the relationship.
Common Business Profile: Established small businesses, growing practices, and firms with 2 to 10 employees navigating increased financial complexity.
Typical Monthly Pricing Range: $800-$2,000
High Complexity
A more involved operation with higher transaction volume, multiple employees or pay structures, multi-state obligations, multiple entities, or a combination of these factors. Requires more extensive bookkeeping oversight, proactive tax strategy, and coordinated payroll management across the organization.
Common Business Profile: Larger businesses, multi-location operators, firms with significant payroll complexity, or businesses operating across multiple states.
Typical Monthly Price Range: $2,000 – $5,000+

| Point of Sales (POS) Integration with QBO |
While a POS (point of sale) system records sales transactions, many small businesses manually enter that data into their accounting system. When possible, Clarke will connect the data from your POS system to QBO, automatically syncing with QuickBooks each day. Examples of POS Systems that we know integrate: Clover, Lightspeed, Square, Shopify, Toast, etc. Clarke’s level of POS support is as follows: Light: Simple cloud-based POS system with not many line items, can be connected to QBO, or the data can be entered via a simple Journal Entry. Moderate: Clarke relies on client delivery of reports, a few areas of monitoring by Clarke are provided, and several items are entered into the books via Journal Entry. Complex: A complex POS system requiring substantial Clarke support and system maintenance. |

| Inventory |
Inventory is an asset and its ending balance is reported in the current asset section of the balance sheet. Inventory is not an income statement account. However, the change in inventory is a component in the calculation of the Cost of Goods Sold, which is presented on the income statement. Clarke Inventory support is as follows: Light: Client maintains the inventory valuation and supplies figures monthly to the Clarke staff. The client takes regular physical inventory and is excellent at managing this aspect of their business. Moderate: Client may use a POS or QBO to maintain the inventory data, which is not complex. The client may need minimal Clarke support or assistance in reconciling inventory. They also take regular physical inventory and are compliant. Complex: Client has very complex inventory, over a thousand items, assemblies, and requires significant monthly support from Clarke. |

| Static Loans |
When a company borrows money from a financial institution, the amount received is recorded with a debit to Cash and a credit to a liability account, such as Notes Payable or Loans Payable, which is reported on the balance sheet. The cash received from the loan is referred to as the principal amount. The principal amount received from the bank is not part of revenues and therefore will not be reported on the income statement. Similarly, any repayment of the principal amount will not be an expense and therefore will not be reported on the income statement. The principal payment is recorded as a reduction of the liability Notes Payable or Loans Payable on the balance sheet. (Both the receipt of the loan principal amount and the repayment of the loan principal will be reported on the statement of cash flows.) The interest on the loan will be reported as expense on the income statement in the periods when the interest is incurred. |

| Full Accrual Basis Accounting |
When using the FULL ACCRUAL BASIS of accounting Clarke will record revenues and expenses when they are incurred, regardless of when cash is exchanged. This means that, in additional to recording all bank, credit card, and other account activity, your accounts payable and accounts receivable, Clarke will also record all prepaid expenses, accrued expenses, accrued payroll, and deferred revenue each period. The advantages of this method is that it matches revenues and expenses to periods in which they are earned or incurred rather than only when they are paid. |

In this arrangement, the PEO performs various employee administrative tasks, such as payroll and benefits administration, on behalf of a business. |

Engagement deadlines and the expedite fee are in place to encourage clients to provide information in a timely manner so that Clarke is able to file returns on time. Important deadlines to consider are: On or about August 25 for the September 15 deadline. On or about September 24 for the October 15 deadline. In the event insufficient information is submitted to Clarke for the complete and accurate preparation of a tax return according to the deadlines above, Clarke will assess an expedite fee of $500 and there is no guarantee the return will be filed on time. |
